Information for oral and poster presenters and for chairs

Basic information

  • EPHAR 2021 Congress will be organized virtually using Zoom platform (www.zoom.us).
  • You will be able to join all virtual sessions through the congress website after logging in to the User zone. Virtual sessions, abstract submission forms, and registration for the congress are accessible through the User zone using the same username and password. If you submitted an abstract, your login credentials remain the same. You will not receive any join links by email.
  • The oral sessions will be live. Presenters will give live talks during the webinar. They will run PowerPoint presentation on their own computer and will share their screen via Zoom.

Information for oral presenters
Length of lectures
  • Please consult the programme for the length of your lecture.
  • A discussion about all lectures will take place at the end of the session. However, the last word belongs to the session chairs who can decide on a different course of the session (for example, each lecture is followed by a discussion, no discussion at all etc.)
  • Emphasis placed on abiding the 90 minutes time slots.
Powerpoint presentations
  • Presenters will run PowerPoint presentation on their own computer and will share their screen via Zoom.
  • Submission of Powerpoint presentations
    • Presenters are required to submit their PowerPoint presentation before the congress.
    • The submitted presentation will serve as a backup and will only be used if presenters are not able to share their presentation via Zoom due to unexpected technical issues. Presenters are expected to run their PowerPoint presentation on their own computer and to share their screen via Zoom.
    • Please upload your Powerpoint presentation via the online form that is accessible after Login in the User Zone.
      • Login using your login details
      • Click on the item Contribution list in the menu on the left-hand side
      • Click on the title of your abstract
      • Then you will be able to upload your file.
    • Please submit your powerpoint presentation by Thursday, December 2, 2021.
    • How to prepare a Powerpoint presentation
    • We recommend to use 16:9 slides. You can download the EPHAR 2021 Powerpoint template.
    • The maximum size of the file is 50 MB

Pre-recorded talks
  • Presenters can upload pre-recorded talks in MP4 format. This is fully optional.
    • You can pre-record your talk if you cannot take part in the live session personally due to time zone differences. Your pre-recorded talk will be played during the live session. 
    • Live sessions will be recorded and recordings will be placed on the congress website. All registered participants will be able to watch the recorded sessions. The participants will be able to discuss with the authors in writing using a discussion box under each recording.
  • How to pre-record your talk
    • The maximum size of the file is 700 MB
    • The maximum length of the recording: Please consult the programme for the length of your lecture unless agreed otherwise with the symposium organiser.
    • The file has to be in MP4 format
    • You can use any recording software of your choice. We recommend to pre-record your presentation using the free version of Zoom. Information on how to pre-record your presentation using Zoom can be found here.
  • Submission of a pre-recorded talk
    • Please upload your pre-recorded talk in MP4 format via the online form that is accessible after Login in the User Zone.
      • Login using your login details
      • Click on the item Contribution list in the menu on the left-hand side
      • Click on the title of your abstract
      • Then you will be able to upload your file.
    • If you wish to uplaod  your prerecorded talk, please upload it via your User zone by Thursday, December 2, 2021.

Information for e-poster presenters

Displaying and presentation of e-posters
  • E-posters in PDF format will be displayed on the Congress website during the whole virtual congress.
  • The audience will be able to view e-posters at any time and to discuss with the authors in writing using a discussion box under each eposter.
Preparing your e-poster
  • A landscape format 16:9 is recommended
  • You can download the EPHAR 2021 PowerPoint template.
  • Each eposter may contain a maximum of 5 pages.
  • Save your e-poster in a PDF format – the maximum file size is 20 MB
How to submit your e-poster
  • Presenters are required to submit their eposters in PDF format before the congress.
  • Please upload your eposter in PDF format format via the online form that is accessible after Login in the User Zone.
    • Login using your login details
    • Click on the item Contribution list in the menu on the left-hand side
    • Click on the title of your abstract
    • Then you will be able to upload your file.
  • Please submit your e-poster by Thursday, December 2, 2021

Zoom platform

  • We strongly recommend to download the Zoom desktop client and to install it on your computer. It is also possible to join the Zoom webinar from your Internet browser using the web client. The Zoom web client allows joining a Zoom meeting or webinar without downloading any plugins or software. However, the web client has limited features and should only be used if you can't access the other options.
  • We strongly recommend to download and install the Zoom desktop client and to familiarize yourself with Zoom in advance before the start of the congress.
